Privacy Policy

The Squad Management (Pty) Ltd (“The Squad Management”, “we”, “us”) is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”). This policy explains what information we collect, how we use it, and your rights as a data subject.

1. What Data We Collect

We collect personal information only when you voluntarily provide it to us through the forms on thesquadmanagement.co.za or by contacting us directly.

Enquiry form fields: When you submit an enquiry on our website, we collect your name, email address, phone number, and the message you provide about your staffing requirement. This information is necessary to assess your needs and respond to your request.

Application form fields: When you apply to join our talent roster, we collect your name, email address, phone number, city, Instagram handle, age, height, clothing and shoe sizes, transport availability, tattoo or piercing information, an experience summary, and between one and five photographs.

The online application form is limited to applicants aged 18 or older. We do not knowingly collect application information from children.

2. How We Use Your Data

Personal information collected through enquiry forms is used to respond to your request, prepare and send you a staffing proposal, and communicate with you about your event or campaign. We may retain this information to provide follow-up support and to understand your staffing needs over time.

Personal information collected through application forms is used to assess your suitability for placement on client briefs, to contact you about booking opportunities, and to maintain our talent database. We will not share your application data with a client without your prior knowledge.

We do not use your personal information for automated decision-making or profiling beyond the manual matching of applicants to client briefs. We do not sell, lease or share personal information with third parties for marketing purposes.

3. How Long We Store Your Data

We retain enquiry data only for as long as reasonably necessary to respond, manage the resulting business relationship, and meet legal or contractual obligations. You may ask us to delete an enquiry where we no longer have a lawful reason to keep it.

Application data is retained while your application is assessed and, if accepted, while you remain active on the talent roster. Inactive records are reviewed for deletion. Legal or contractual records may be retained longer where required. You may request deletion at any time, subject to those obligations.

4. Photo Retention Policy

Professional photographs submitted as part of your application are uploaded to Vercel Blob cloud storage. The current upload system uses unlisted public file links, which means anyone who obtains the exact link can access the image. We share those links only with people involved in processing applications or matching talent to a brief. Do not upload identity documents or other sensitive documents through the photo field.

Photographs follow the application retention approach above. You may request deletion of your photographs at any time by contacting us at [email protected].

5. Your Right to Request Deletion

As a data subject under POPIA, you have the right to request access to the personal information we hold about you, to request correction of inaccurate data, and to request deletion of your data where we no longer have a lawful basis for retaining it.

To submit a deletion or access request, please email us at [email protected] with the subject line “Data Request” and include your full name and the email address associated with your enquiry or application. We will acknowledge your request within 5 business days and respond fully within 30 days.

If you believe we have not handled your personal information in accordance with POPIA, you have the right to lodge a complaint with the Information Regulator of South Africa at www.inforegulator.org.za.

6. Cookie Usage

This website uses cookies to improve your browsing experience and to understand how visitors use our site. Cookies are small text files stored on your device by your browser.

Essential cookies are required for the website to function correctly and cannot be disabled. They do not store any personally identifiable information.

Analytics storage is optional. If you accept it, Google Analytics 4 may collect device, browser, page, interaction, and approximate location information so we can understand website usage and confirmed form outcomes. We do not send form fields, messages, contact details, social handles, file names, or photo links to Google Analytics.

Marketing storage is also optional and is reserved for future advertising measurement. No Google Ads tag is active at the date of this policy. Analytics and marketing are denied by default. Google Tag Manager loads only after you grant at least one optional category, and each category remains independently controlled. You can accept, reject, or change your choices at any time using the Cookie settings link in the website footer.

7. Service Providers

We use service providers to operate the website and process requests, including Vercel for website and file hosting, Resend for email delivery, and, only after analytics consent, Google Tag Manager and Google Analytics 4 for measurement. These providers process information under their own security and privacy terms. We disclose only the information needed for the relevant service.

8. Data Security

We take reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, misuse or disclosure. These measures include encrypted data transmission (HTTPS), access controls on internal systems, and regular security reviews.

Notwithstanding these measures, no data transmission over the internet or storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure, please notify us immediately at [email protected].
